Manual bookings fail because every booking lives in your head or your phone, not in a system. That works while you can remember every customer, price and address. It breaks the moment volume, staff or time off enters the picture.
The cost is rarely one big mistake. It’s small leaks: a quote that never gets a reply, a customer who doesn’t turn up, a deposit you forgot to ask for, an evening spent answering “are you free Saturday?”. Each one looks minor. Together they cap how big the business can get.

If you’re only doing a few jobs a week, Square’s free plan covers the basics. The trade-off is that it’s built for salons and shops, not mobile car care: no vehicle records, and car-care packages, vehicle sizes and add-ons have to be set up as ordinary services.
Established and wanting to compete
You’ve been going for years, mostly on word of mouth and repeat customers. The work is good, but newer businesses are winning customers with online booking, instant quotes and slick reminders.

What should you check before trusting a new booking app?
New booking apps for detailers appear every month, and some are built in a few weeks by one person. That can be fine, but your bookings, customer list and payments will live inside it. Before you move your business over, check:
- Who owns your customer data, and whether you can export it if you leave
- How payments are handled. Established tools use a regulated processor such as Stripe or Square rather than handling card details themselves
- How long the company has been trading, and whether there’s a registered UK company behind it
- What happens if it goes down on a Saturday morning, and how quickly support replies
- Whether real businesses are using it, with reviews you can check outside the app’s own website
If an app can’t answer these clearly, the low price isn’t worth the risk to your customer list.

Most booking software for detailers costs between free and about £50 a month for a sole trader, rising with each extra user. Software built for field teams can run past $150 a month once you add staff.

When you don’t need booking software yet
Booking software isn’t the answer for everyone, and saying so is more useful than overselling it.
If you’re doing fewer than five jobs a week, mostly for friends, family and regulars, WhatsApp is probably fine. The same goes if you’re still testing whether detailing is a side hustle or a business. In that case, focus on getting customers and reviews first.
The one thing worth doing from day one is taking a deposit. You can do that with a simple payment link, even before you move to a full system.
